Photo Contacts PRO - Best Practices
Here are a few general best practices for using Photo Contacts PRO:
1. Keep ring-ones and pictures in built in storage or internal storage memory (not on a
memory card). Memory cards have wake up problems when the device is in standby
mode.
2. Make sure the program is not being terminated if you use SPB Plus, Wisbar or some
other task manager. Configure SPB plus to minimize and not close Photo Contacts PRO
when the (X) button is pressed.
3. If your phone has a Task Manager feature enabled to Close programs when the (X)
button is tapped, disable this feature in Start>Settings>Task Manager.
4. Just like other applications Photo Contacts PRO requires memory to run. Check that
your device is not running extremely low on Program Memory (tap on
START>Settings>Memory). If you have less than 8MB of free Program Memory, softreset
the Pocket PC.
Tip #1 : Soft-reset your phone once in a while to keep it running in top shape (once
per week is recommended)
Tip #2 : Photo Contacts PRO automatically loads when your device soft-resets and then
always stays running in the background so it can manage Photo Caller ID, Ringtones,
and Call Filtering. You will see a small icon in the Tray of the Today screen (bottom of
Today screen) when it’s running. If you tap on this Tray icon once, you will be able to
change the current Profile. Tap-and-hold on this icon opens up Photo Contacts PRO.
If you don’t see the tray icon the program has either been closed via Tools>Exit or
terminated by some other process or an extremely low memory situation.
Tip #3: See the Usage Tips to find out how to use the program to its full potential.
Tip #4: See the latest revision of the Visual Users Guide for detailed information about
using the program. Thank You!
Installation
Question "Could not find ...CEAppMgr.exe..." message is shown when trying to
install the program
Answer
If you have a PC running Windows Vista please make sure that you have the latest
version of Windows Mobile Device Center. Microsoft had issued an update (to
version 6.1) to this component of Vista that is required in order to install the
software.
If you have a PC running Windows XP or earlier, make sure you have ActiveSync
installed.
Question When I try to run the application from my phone I get this message: "
'PhotoContactsPro_PPC_v508_full.exe' Is not a valid Win32 application."
Answer
Photo Contacts PRO contains a desktop installer. It is installed by running the
installation process on your desktop PC (not on the phone) with the phone
connected to Activesync or Windows Mobile Device Center.
Make sure you're running the installation on your desktop computer as per our
installation instructions.
Question When I try to install the program, I get this message: "Installation of
PocketX Photo Contacts PRO.CAB was unsuccessful"
Answer
Your phone might be running low on storage or program memory:
• First, soft-reset your phone. This will ensure your phone has enough
free program memory. Then try installing again.
• If you're still unable to install, check free storage memory on your phone
(Start>Settings>Memory). If free storage memory is low (under 5MB), go
to Start>Settings>Remove Programs and un-install some unneeded
programs; Alternatively, delete some large files from the device using File
Explorer.
Question Should I install Photo Contacts PRO onto a memory card or in main
memory?
Answer
We recommend that the program be installed in internal memory of the device for
faster loading and better reliability. Memory cards have very slow wake-up times
on Windows Mobile devices.
Operation
If you cannot get the program to install on the phone, please make sure to follow the installation
instructions.
If the program is not behaving as you would expect, make sure to follow the Photo Contacts PRO
Best Practices. Also see the General section below.
Compatibility
Question Is this the correct software for my phone? Do I need the Smartphone or
the Pocket PC Edition of Photo Contacts PRO?

Answer

Professional/Classic devices, Windows Mobile 5 and Pocket PC 2003 Phone devices
including the T-Mobile Wing, HTC Tytn/Tytn 2, HTC Touch/Dual, AT&T Tilt,

Samsung i700/i730/i830/i760 and other devices running Windows Mobile 6/5.

Motorola Q/Q9, Samsung BlackJack, T-Mobile Dash/Shadow, MPx200, MPx220,
Orange C500, Audiovox SMT5600 or the Samsung i600, you will need the
Smartphone Edition of Photo Contacts PRO.
Question Is Photo Contacts PRO compatible with Windows Mobile 6 and Windows

Version 4.0 or higher is required for Windows Mobile 5 devices.

Question Is Photo Contacts PRO compatible with square screen devices (like Treo
700w/700wx/750 and HP 6515)?
Answer
As of version 3.2, Photo Contacts PRO is fully compatible with square screen
devices as well as landscape operation. As of version 4.01, Photo Contacts PRO is
Treo 700w compatible.
Contacts
Question Which contact database does Photo Contacts PRO utilize? Does Photo
Contacts PRO use Outlook?
Answer
Photo Contacts PRO uses the regular Outlook contact database on the
phone/Pocket PC. This contact database is also used by the regular 'Contacts'
program.
The Outlook contact database on the phone synchronizes with MS Outlook on your
desktop computer via Activesync. This allows you to add/edit contacts on both the
phone with Photo Contacts PRO and your desktop/laptop computer in Outlook
while keeping contacts synchronized and backed up on both. This is one of the
most powerful features of Windows Mobile.
If you use a different contact database like ACT!, Maximizer or similar, there are
3rd party synchronization tools available that let you transfer contacts to the phone
for use with Photo Contacts PRO.
Question I have contacts stored on my SIM card - how do I transfer them to the
phone?
Answer If you have SIM contacts you can transfer them over to the phone by using the
SIM Manager or if your phone does not have one, the regular Contacts program
itself will have an option to copy from SIM to phone.
If you have a lot of contacts on your SIM card, you can easily automatically import
all SIM contacts by using a small utility like SIMImp.
There are numerous benefits of using regular Outlook contacts on a Windows
Mobile phone - more contact data fields, easy backup and synchronization with
your desktop computer via Activesync, etc.
Ringtones and SMS tones
Question Which sound formats can I use for ringtones in Photo Contacts PRO and
can I use MP3s?
Answer
Photo Contacts PRO lets you assign .WAV, .WMA, .MID, .MP3 and MP3-DRM files as
ringtones but their use is device dependent.
Most Windows Mobile 5 and 6 devices can use all formats. Older Pocket PC 2003
devices can use .WAV and .MID ring tones only.
Photo Contacts PRO is able to preview .wav, .mp3 and .wma files.
Question Where are the Ringtones and SMS tones stored?
Answer
Ringtones that come bundled with your phone are stored in the \Windows or
\Windows\Rings folder on the phone.
One high-quality Ringtone and two SMS tones that are bundled with Photo
Contacts PRO are stored in the \Windows\!px_ringtones folder on the phone.
This folder will be on the top of the list when you browse for sounds.
Question What kind of sounds can I use for SMS tones?
Answer
It is best not to use long ringtones or MP3 songs as SMS tones as this will put an
unnecessary resource load on the phone.
For best operation, use short (up to 5 seconds long) sounds as distinctive SMS
tones. You can find short sounds in the \Windows folder on the phone.
Photo Contacts PRO comes bundled with 2 high-quality WMA sounds you can use.
They can be found in the \Windows\!px_ringtones folder on the phone.
Get more high quality ringtones and SMS sounds in our online store.
Question Where should I store my custom RingTones/SMS Tones?
Answer
If you create or use your own Ringtones and SMS tones they should be stored in
internal storage memory on the phone. This ensures fastest and most reliable
operation. You can store the files in any folder on the device.
Question How do I assign a ringtone to a group of contacts?
Answer
To assign a ring tone to a group of contacts first assign a category to those
contacts in Outlook.
You can use Photo Contacts PRO to do this by selecting a contact, tapping on
Contact>Edit and editing the category field of the contact.
Then open the RingTone manager in Photo Contacts PRO and assign a new
ringtone to that category.
Question How do I assign a ring-tone to a contact using Photo Contacts PRO?
Answer
Here is how to assign a simple ring tone:
1. Open Photo Contacts PRO
2. Tap-and-Hold on one of the contacts and select RingTone>Assign
3. This brings you to a file browser. Browse to the Windows folder
4. You will now see a list of folders and ring tones. Scroll down until you see a
ring tone (example alarm1.wav) and tap to select it
5. You can press the PLAY button to play it (preview)
6. Tap on SELECT to assign it to the contact
That’s it! You will now see a small ring note icon on top of the contact's picture.
When that contact calls you, their ring tone will play.
You can use the Ring Tone Manager to see all the ringtones assigned to contacts
by tapping on Options>RingTones.
Question I assigned a ringtone but I am hearing a beeping or clicking sound when
someone calls
Answer
The assigned ringtone is of an incompatible format for your device. Most devices
support .wav and .mid ringtones and newer devices support formats like mp3 or
wma.
Pictures
Question How do I add contact photographs to my device?
Answer
There are four ways to utilize contact photographs with Photo Contacts PRO.
PHONE CAMERA
If the device has an integrated camera then simply select a contact, tap
Photo>Assign and browse to the folder where the camera stores photos on your
device. This is most likely the \My Documents\My Pictures folder.
COPY FROM COMPUTER
First re-size then copy photos from your desktop/laptop computer to your phone
via Activesync. Assign them in Photo Contacts PRO by selecting a contact and
tapping on Photo>Assign.
SMARTNAME TM
The best way to assign many large, clear photos is the SmartName method
outlined here and in the Users Guide. This is as easy as cropping and naming your
photos on your desktop computer and then transferring them onto the phone. This
method allows you to assign large and clear pictures easily.
OUTLOOK PICTURES
Photo Contacts PRO will import your Outlook pictures automatically on first start.
However, Outlook pictures are of low quality as Outlook resizes them to a small
size. Once you get more familiar with the program, we recommend assigning larger
pictures by using one of the first 3 methods above. You can also import photos
from Outlook manually by tapping on the Import button in Tools>Options in the
program.
Question I am using Outlook pictures but they are too blurry and of low quality.
What should I do?
Answer
Outlook pictures are generally too small for Full Screen and Business Photo Caller
ID. Outlook re-sizes pictures to the 72x72 or 72x96 pixels resolution maximum and
this is just too small.
You can use SmartName or one of the other methods described in the section
above. All you do is crop a few pictures, name the pictures with the name of the
contact (i.e. "Lisa Green.jpg") and transfer them to the phone. It's that easy!
We recommend using 200x200 or 240x240 pixels of resolution for a contact picture
(jpg). This will ensure sure the picture is large and clear.
Question What is the recommended image size for contact photographs?
Answer 200x200 pixels is the optimum size for a contact photo. By default Photo Contacts
PRO saves photos with this resolution (this can be changed in the Options screen)
Question
I am using SmartName to assign photos to contacts. I have named by
images properly and transferred them to my Pocket PC but they are not
showing up.
Answer
Please make sure you're not adding a double ".jpg" extension to your images in
Windows on your PC. Open 'My Computer' and click on Tools/Folder Options/View.
Make sure that the "Hide extensions for known file types" is NOT checked.
Question Where are contact pictures stored? Where should I store my contact
photos?
Answer
By default Photo Contacts PRO stores contact photos in this folder on the device:
\My Documents\Photo Contacts\
All the contact pictures in this folder will follow the SmartName naming scheme.
Contact photos can be stored in internal memory on the device itself (default),
built-in-storage, or a memory card. For most reliable operation we recommend
storing pictures in internal memory on the device.
If you wish to store photos on a memory card then go to Tools>Options in Photo
Contacts PRO and select a memory card as the "Photo Location". Photo Contacts
PRO will automatically create the above folder structure on the card. You can also
type in a fully custom location in the Photo Location field.
SMS Messaging
Question How do I add my own quick-sms responses or edit the pre-defined list?
Answer
Open and edit the "SMSPresets.txt" file located inside the Photo Contacts PRO
installation folder on the device (\Program Files\Photo Contacts PRO).
Add one line per custom message.
General
Question Photo Contacts PRO is closing or the tray icon is shifting to the left. What
should I do?
Answer
You might be running a task manager program and terminating Photo Contacts
PRO when you tap on the (X) button at the top right of the screen, or your device
might be extremely low on memory.
Normal Windows Mobile operation is to minimize (hide) and not terminate
programs when you tap on the (X) button.
• Your phone might be configured with an HTC utility to terminate programs
when the (X) is pressed. Go to Start>Settings>Task Manager (or similar)
and un-check this option.
• If you use a task manager program like SPB Plus or Wisbar, configure it to
minimize and not close Photo Contacts PRO.
• If you are not using a task manager then it is possible that your phone is
running extremely low on memory (this can happen if you use Pocket
Internet Explorer a lot - it eats up memory fast). In this case just make
sure to close running programs by going to Start>Settings>Memory and
soft-reset the phone once in a while.
Photo Contacts PRO will automatically start about 10 seconds after you soft-reset
your phone. If this is not the case, go to Tools>Options in Photo Contacts PRO,
check the "Load Program on Startup" box, and tap SAVE. Now soft-reset your
device and Photo Contacts PRO will start automatically.
Question Does Photo Contacts PRO work with non-English language devices?
Answer Photo Contacts PRO is compatible with all languages. We encourage you to try the
demo version and see how it works for your language.
Question Will Photo Caller ID work on my Audiovox Thera 2032, Toshiba 2032 or a
Pocket PC with a proprietary phone add-in card?
Answer
Photo Contacts PRO will work on these devices but Photo Caller ID, custom ring
tones and photo-tap-dialing is not supported. These phones are Pocket PCs with a
proprietary phone implementation - they are not Pocket PC Phone devices.

that letter.
Tip #3
Use short, high-quality sounds for distinctive SMS tones
It is best to use short (up to 5 seconds long) sounds as distinctive SMS tones.
Photo Contacts PRO comes bundled with 2 high-quality WMA sounds you can use. They
can be found in the \Windows\!px_ringtones folder on the phone.
Get more high quality ringtones and SMS sounds in our online store.
Tip #4
Store your ringtones in internal storage on the phone
Storing ringtones in internal storage (built-in-storage) ensures best and most reliable
performance and does not waste any memory used for running programs. It is also more
reliable than using memory cards.
Photo Contacts PRO comes bundled with one high-quality ringtone you can use - it can be
found in the \Windows\!px_ringtones folder on the device.
Get more high quality ringtones in our online store.
Tip #5
With Automatic Profiles and Call Blocking, Photo Contacts PRO adds real
intelligence to your phone.
Case #1: You wish not to be disturbed at night except by calls from your core
family
Assign your family members to the Family category by editing contacts in Photo Contacts
PRO. Then set the "Family Only" profile to reject all calls (DEFAULT = Reject) except
from the Family category (Family = Bypass). Now use the Auto Profile Manager to
schedule times when you wish this category to be active (eg. 11PM - 7AM).
Case #2: You wish your phone to automatically switch to Vibrate when it
detects a meeting in your calendar
Go to your Home screen, select the Profile section and select the Automatic Profile called
"Auto-Meeting". Now when a call comes in during a meeting your phone will vibrate.
Case #3: You are tired of being disturbed by your phone during a meeting but
you wish to allow calls from your boss.
Configure a new profile called "Boss Only" to reject all calls except from your boss
(Default=Reject, Boss=Bypass). Use the Auto Profile Manager to add a meeting trigger.
Assign the "Boss Only" profile to the first Meeting trigger. Activate the Automatic Profile.
Now whenever a meeting is detected the phone will automatically reject all calls except
from your boss.
Case #4:You wish to conserve battery power on your phone automatically
especially since when at work, you don't use your Bluetooth headset
Set up a new profile called "Work" with your desired ring volume, SMS volume and
ring/SMS type preferences. Set the Bluetooth option to Off in this profile. Now in the Auto
Profile Manager, set the Work profile as default during work hours.
Case #5: You want to completely block calls from an undesired individual
Select a contact and tap Call Filter>Hangup. Now all calls from this individual will be
automatically rejected. If you wish to send these calls to voicemail, select Call
Filter>Reject.
With Automatic Profiles it is possible to configure Photo Contacts PRO to help in all of
these simple situations. More complex scenarios including using the SMS answering
machine, configuring different types of meetings and scheduled changes are all possible.
It's easy to use Photo Contacts PRO's profiles to suit your life needs.
Tip #6
Change the look and feel of Photo Contacts PRO
Photo Contacts PRO comes bundled with different color themes that change the look and
feel of the program. To change to a different theme, go to Options in Photo Contacts PRO
and select a new theme from the "Theme" pull-down menu.
Tip #7
Use contact categories to group contacts!
Contact categories are a powerful and easy way to group your contacts and contact
pictures. You can easily assign contact categories to many contacts at once using Outlook
on your desktop computer or by editing contacts in Photo Contacts PRO. Once you
synchronize your contacts to the Pocket PC, you can use Photo Contacts PRO to filter
categories with pictures.
To filter contacts by category, simply tap on the "C" icon above the menu in Photo
Contacts. This is very useful for showing pictures of your family, friends or grouping
business contacts.
You can also use the Joystick left-right buttons to quickly toggle through categories when
in page mode (press the up/down on-screen buttons to enter page mode).
Tip #8
Use Photo Contacts PRO to Speed Dial right from your Today screen!
Photo Contacts PRO is designed to make dialing a pleasure.
The Photo Contacts PRO Today Plugin lets you add your favorite contact pictures to your
Today Screen for fast dialing. To assign a contact as a favorite tap on the contact picture
in Photo Contacts PRO and select Favorite>Add.
Now all it takes is two finger taps on the contact photo and one tap on the number you
wish to call (work, home or cell) to dial a contact.
While in Photo Contacts PRO the 3x3 picture view is the best view for speed dialing.
When you assign contacts as Favorites the program assigns the contact to the "Favorites
PC" category.
To switch to the Favorites category simply use the joystick left-right buttons to switch
through categories, or press the C button and select the desired category.
Tip #9
Easily search for a contact using Photo Contacts
Photo Contacts lets you easily search for a contact by filtering contacts based on their First
name, Last name, Company name, Title or Telephone number. During this process, Photo
Contacts shows you the matching contact photos in real time.

keyboard.
Tip

To enable continuous ring tones on your device, check the "Continuous Ring" box in
Options>Caller ID in Photo Contacts PRO. Now your phone will ring continuously (without
pause) during an incoming call.
Tip

Just open and edit the "SMSPresets.txt" file located inside the Photo Contacts PRO
installation folder on the device (\Program Files\Photo Contacts PRO).

Creating your own custom color themes for Photo Contacts
Advanced users of Photo Contacts can easily create new themes to customize colors,
background images and other parts of the program.
Browse to the \Program Files\Photo Contacts PRO\Themes folder on your device
(using the File Manager with Activesync) and you will see that every theme has a folder
associated with it.
This folder contains a background used in the program, a no-photo image used for
contacts without photos and a "theme.txt" file used for customizing colors in the program.
To start, copy one of the existing theme folders into a new folder inside \Themes, and
then modify the files you wish to change. Photo Contacts will automatically pick up the
new theme in the Options menu so you can switch to it and try it out.
If you'd like to share your theme with other Photo Contacts users, please email us and
we'll be glad to post it!
